Purpose
Prompt is one of nine sectoral industrial research groups (RSRIs) in Quebec working in the field of information and communication technologies (ICT) and digital technology.
Prompt is committed to protecting the privacy rights of all individuals about whom it has collected personal information. The personal information of our employees is subject to Prompt’s employee privacy policy and not to this policy.
For the purposes of our mission, we collaborate and work on numerous projects that may involve the collection, use, or sharing of data. This privacy policy does not cover this aspect. However, we would like to assure you that we apply high standards of ethics and information security in this regard.
In compliance with the Personal Information Protection Act, this policy aims to explain how, why, and what kind of information is collected, used, or shared.
Definition of personal information
Personal information is information that relates to a natural person and allows that person to be identified. It is confidential and, with some exceptions, cannot be disclosed without the consent of the person concerned.

What do we collect?
Prompt does not collect personal information without your consent, unless it is implied. The following is the nature of the information collected and provided by you exclusively in connection with the analysis and requirements for the preparation of your financing file, including:
- Last name, first name, and contact information;
- Information about your education and previous employment. See CV;
- The name of your company;
The following is the nature of the information collected automatically:
- The domain name of your Internet service provider;
- Your IP address;
- The type of browser: Microsoft Explorer, Mozilla Firefox, Google Chrome, etc.;
- The operating system and its version: Windows, Mac OS, Linux, etc.;
- The date and time of the visit;
- The pages you visit;
- Your country of location;
- The address of the referring site, if you access the Prompt site from another site.

– Through manual entry and outreach by our business and/or operations managers (networking events, social media, etc.): Appointment scheduling, requests for information, registration for a webinar or in-person event, payment, career information, etc. - Digital marker
A digital marker is a computer file placed on your computer by a website you visit. They are stored on your computer so that the web server can retain certain information about you. The server can use this information during the same visit or subsequent visits. Cookies and HTML5 web storage specifications are all digital markers. They are used in web analytics to record your preferences (e.g., language, location, etc.). - Cloud services: Prompt uses cloud services as part of its operations, and we have a strict data protection policy in place:
– With few exceptions, we use standard, recognized suppliers such as Google and Microsoft.
– Zero tolerance for data loss.
– Transactions and communications are encrypted.
– We have an identity and access management mechanism with multi-factor password authentication.
Access to information may only be granted to authorized Prompt employees.
Why are they collected?
Management of our contacts, customers, and prospects
Prompt has a CRM (Customer Relationship Management) system, which is software for managing relationships and interactions with customers or prospects. It helps companies manage the lifecycle of their beneficiaries and members, interact with them, streamline their processes through automation, and thus improve their profitability.
Please note that our CRM is a cloud-based service, so the data it collects is hosted on our provider’s servers.
Web analytics
Web analytics involves collecting, analyzing, measuring, and reporting data about website traffic and visits. This data is used for statistical purposes to improve our website. It also helps us perform administrative tasks such as:
- Statistics related to communications and information technology
- Auditing and evaluation;
- Research;
- Planning;
- Reporting.
Protection and safety
We use software to monitor network traffic and detect any unauthorized attempts to modify information or damage our systems. This software receives and records the following information:
- The IP address of the computer that communicated with our website;
- The date, time of the visit, and pages viewed, among other things.
Protection
Prompt takes appropriate security measures to protect your personal information. These measures vary depending on the sensitivity of the personal information and the context of use.
Correction
To have your personal information corrected, simply submit a request by contacting the Chief Privacy Officer.

Disclosure
Prompt does not disclose your information to third parties except, in exceptional circumstances, to the relevant legal authorities where necessary.
Can this privacy policy be changed?
Yes, we will post the date of modification on our website and, to the extent possible, notify the individuals concerned.
